Submitting your work to ARMINDA

In order to publish your work in ARMINDA, Penrose Library requires a non-exclusive distribution license signed by both you and your faculty sponsor.  If there is more than one author/presenter, all of you should sign. If you carried out the research underlying your presentation or poster at another site (such as an REU [research experience for undergraduates] at another university, institute, or field site), we strongly recommend that your supervisor at that site also sign the license. At minimum you should communicate with that supervisor about your intention to share your work, and make sure that the way you want to share it aligns with their plans for publication.

The distribution license is a slightly modified version of the license we require for honors theses — it officially grants us your permission to make your work available online, and we can’t publish your material in ARMINDA without it. You have two options for sharing your work through ARMINDA — either with the entire world via the Internet, or with current Whitman students, faculty, and staff (also via the Internet, but they need to sign in with a Whitman ID to view it). Choosing worldwide open access means that you will have access to your work on the library website after you graduate, as will anyone who searches for it. There can also be good reasons to limit access of your work to the Whitman community (for example, if you or your advisor plan to publish the work in another form, or if you have privacy concerns). Note that even if you choose limited access for your poster or presentation, the information about your presentation (your name, title, and abstract) will be publicly available. You can opt out and not submit your work to ARMINDA; be aware that the conference program will be available on ARMINDA.

Be sure that you, any coauthors, and your faculty sponsor all agree on the level of access that is appropriate. Submission is recommended but not required; if you, your faculty sponsor, and/or your external research advisor feel that your work should not be shared online due to privacy concerns or because it is based on data or research that they intend to publish, you should not submit your work to ARMINDA. If you have questions about possible levels of access, please contact Amy Blau.

Open Access

Open Access is is the term used to indicate that scholarly works are made available to the public to read (and, depending on the license, to use and revise in other ways) for free via the Internet. 

Scholars have many reasons for deciding to make their work available via Open Access. These include

  • belief that scholarly research should be available for everyone
  • increasing the impact of their scholarship (higher numbers of downloads and citations)
  • helping libraries and research institutions to avoid the increasing costs of journal subscriptions
  • compliance with grant or funding requirements

Your work in ARMINDA will be Open Access if you choose the worldwide open access option on the distribution license. You can read more about Open Access on our library guide, or on the SPARC website.
